WHAT CUSTOMS FORMALITIES AND DOCUMENTATION ARE INVOLVED IN SEA FREIGHT?

Commercial Invoice
A complete and accurate commercial invoice is key for smooth customs processing. Customs authorities require this information to determine potential taxes and import duties. By correctly completing the commercial invoice, you help prevent delays.

Pro-forma Invoice
Pro-forma literally means “for the form.” A pro-forma invoice is not an official invoice but a preliminary invoice. This type of invoice is most commonly used in international trade to allow the buyer to complete certain customs formalities, such as clearance documents.

EUR1 and Invoice Declaration
The EUR.1 certificate is a preferential trade document that can help reduce or waive customs duties. The amount of customs duty (import duty) can vary by country and product. The EU has signed preferential trade agreements with certain countries or groups of countries. To benefit, you must meet the requirements outlined in customs legislation or in separate protocols.

Certificate of Origin
The Certificate of Origin (CvO, Certificate of Origin) is a document that states the origin of the goods you are supplying. The CvO follows a fixed layout and may only be printed by authorized printing houses. In the Netherlands, for example, this is Beurtvaartadres. A Certificate of Origin is characterized by a unique number issued by the printer, making each blank form unique. The CvO is reviewed, approved, and stamped by the Chamber of Commerce (CoC).

Packing List
A packing list indicates the quantity and type of goods in a shipment. It typically accompanies the shipment. The packing list may also include dimensions, weights, etc.
